Who I work with

Gyms

Membership income, personal training, retail, and drop-ins, all tracked separately so you can see which streams earn the most. Equipment purchases and trainers who work as contractors are recorded correctly from the start.

Fitness studios

Class packs, memberships, and intro offers recorded as you earn them, not when the cash lands. Instructor pay and platform reports like Mindbody, Stripe, or Square reconciled to your books every month.

Personal trainers and online coaches

Sessions, online coaching, program sales, and affiliate income in one clear picture. Business and personal money kept apart, and your books organized so your CPA has what they need at tax time.

Sound familiar?

  • You're not sure whether your instructors should be paid as contractors or employees.
  • Class packs and memberships make it hard to tell what revenue you've actually earned.
  • The numbers in Mindbody, Stripe, or Square never quite match your books.
  • Your income comes from several places and none of them add up in one view.
  • You only look at your finances when it's time for taxes.

What I do

Monthly bookkeeping

Transactions categorized, accounts reconciled, and a clear monthly report on how your business is doing.

Cleanup and catch-up

Behind on your books, or not sure they're right? I'll bring them current so you start from a clean slate.

Instructor and trainer pay reconciliation

Make sure what you pay your team lines up with your records, with attention to contractor and employee setups.

Tax-ready books

Year-end records organized for your CPA or tax preparer, so tax season is a handoff and not a scramble.

How it works

  1. Intro call

A free 20-minute conversation about your business and where your books stand.

  2. Setup

I connect to your tools, review your records, and build a chart of accounts that fits a fitness business.

  3. Monthly rhythm

Every month you get your reports and a short check-in, with no surprises.

Most of the work happens on my side. After setup, I'll ask for about 15–30 minutes of your time each month.

About

I'm Ray Morrow, a software engineer with four and a half years in the payroll industry. Working with payroll showed me how often small businesses struggle to keep their pay and their books lined up, and how much stress that creates.

I'm an athlete myself, so I know how much of a fitness business runs on passion and how little of it is spent on paperwork. Kinetic Ledgers exists to take that off your plate.

I've completed Intuit's bookkeeping training and hold the Intuit Bookkeeping Trained badge. I work in QuickBooks Online, and I'm building on that with further QuickBooks training.

I'm based in Brooklyn, NY, and work with clients both locally and remotely.

Questions

What's included in monthly bookkeeping?

Categorizing your transactions, reconciling your bank, card, and payment accounts, and sending you clear monthly reports, plus a short check-in. Memberships, class packs, and retail sales are tracked separately so you can see what's earning.

Which software do you work with?

QuickBooks Online. If you use a booking or payment platform like Mindbody, Stripe, or Square, I'll reconcile its payouts in your books.

My books are a mess. Can you still help?

Yes. Cleanup is one of my services. I'll review what you have, fix it, and bring you current before we start the monthly routine.

How do you handle instructors and trainers who work as contractors?

I record their pay correctly and keep the records you'll need at year-end. How a worker should be classified is a legal and tax question, so I'll flag it and work alongside your CPA or attorney on the decision.

Do you do taxes?

I handle bookkeeping. For tax filing, I work alongside your CPA or can refer you to one.

How quickly will I get my reports?

Within 10 business days after month-end.

Do I need to be in New York?

No. I work remotely with clients in other states, and everything happens online.

Is there a contract?

Month-to-month. Either of us can end it with 30 days' written notice.
